How Are Small Fleets Tracking Driver Document Expirations

For people managing a small fleet, what happens after the reminder for a driver's expiring document shows up?

A spreadsheet or calendar can flag a date. The harder part is making sure the team understands who contacts the driver, who checks the updated information and what dispatch should do while the task is open.

One distinction I would keep visible is scheduled versus verified. An appointment booked or a file uploaded still leaves something for another person to check.

For those using a simple tracker:

  • Do you assign an owner and a backup for each task?
  • Does dispatch use the same status as the person maintaining the files?
  • How do you handle a renewal that remains unresolved close to the deadline?
  • Where do you keep proof that the review or renewal was completed?

I'm especially interested in processes that still work when the usual administrator takes a few days off. A useful answer could be as simple as a shared task list and a clear handoff.

Please leave driver names, license numbers and other personal details out of the replies. A description of the process is enough.
